Privacy Policy – Your Personal Information
This privacy policy explains how the Directorate of Conscription (DSL), the General Staff of the National Guard (GNG), and the Ministry of Defence (MoD) collect and process your personal information in the context of submitting an electronic application for employment as a Contracted Soldier (SYOP) through the corresponding digital service.
What information we collect about you
From CY Login:
- Full name
- Email address
- ID card number
During the application process:
- Date and place of birth
- Home address
- Contact information
- Educational information
- Medical information
- Family information
Why we use your personal data
Your personal data is collected and processed for the following purposes:
- To verify your access rights to the service
- To complete and submit your application for employment as a Contracted Soldier (SYOP)
- To generate relevant documents related to the SYOP employment process
- To keep you informed about the progress of your application
- To archive and track information for subsequent procedures related to your service as a SYOP
Without access to the above data, your application cannot be processed.
Where your personal data is stored
- Electronically: Stored in databases and servers located in Cyprus, accessed only by authorized personnel through password-protected computers and secure firewalls.
- In printed form: Maintained in official folders by the GNG and National Guard Units.
Personnel from the MoD/CYMS are authorized to transfer data without visibility access. The GNG has full access and processing rights as part of its official duties.
How long we keep your data
The printed data of SYOP records are retained by the Ministry of Defence and the General Staff of the National Guard (GNG) until the release of them from the National Guard. These physical records are destroyed only for individuals who have resigned and five years have passed since their resignation, and only after it has been fully verified that there are no outstanding financial obligations to the Republic of Cyprus, and there are no pending procedures before medical boards or other competent committees.
The data stored in the information system are retained for the benefit of the GNG until the completion of your reserve service obligation
Who your data is shared with
Your data will not be shared with third parties without your explicit consent, unless required by law or necessary in accordance with Articles 6 and 9 of the General Data Protection Regulation (GDPR).
